Job Description:
This is a senior level secretarial position responsible for performing administrative and complex secretarial tasks for a department head, administrative officer or program manager.
This position requires greater independent judgment and more thorough knowledge of an office's organization rules and regulations.
Employees in this class work under general supervision with wide leeway for independent judgment.
Supervision is exercised over the work of clerical subordinates.
Does related work as required.
TYPICAL WORK ACTIVITIES:
Supervises and coordinates work flow assuring that all correspondence, reports and documents are processes and/or completed in a timely manner; Maintenance of confidential material and documents on behalf of the department including personnel files; Preparation of complex reports indigenous to the department in which position is located; Orients and cross trains new clerical support employees in the specialized work of the department with the assistance of Unit Supervisor; Acts as liaison with Information Technology Department staff for production of computerized material and arranges corrections/modifications as necessary; Supervises the collecting and compilation of financial/non-financial dates and statistics for a variety of reports and files; Maintains and keeps current files on contracts and maintenance agreements; Composes and prepares correspondence and reports dealing with well-defined administrative activities; Schedules conferences and meetings, equipment use, car use and maintenance schedules, time sheets, out of office schedules, compensatory time records, ensuring all parties are contacted, and any scheduling conflicts resolved; Acts as receptionist for administrator, answers phone calls, greets visitors, maintaining calendar, scheduling appointments, performs typing duties as needed; FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:
Thorough knowledge of office terminology, practices and procedures; good knowledge of business arithmetic and English; good knowledge of office management techniques; good knowledge of the organization and functions of the office to which assigned; ability to direct and supervise the work of clerical subordinates; ability to operate a variety of office equipment; ability to use a personal computer; ability to complete complex clerical assignments independently; ability to compose business correspondence and written reports using proper grammar, punctuation, and spelling; ability to prioritize workload in accordance with supervisor's priorities; ability to establish cooperative relations with the public and staff, with tact and courtesy; good judgment; initiative and resourcefulness in the solution of administrative problems; Job Type:
